Job Brief

We are looking for an admin executive to join our team and support our daily office procedures.

A successful admin executive will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records. If you have previous experience as an Office administrator or similar administrative role, we’d like to meet you. Our ideal candidate also has working knowledge of office equipment and office management tools.

Ultimately, you should be able to ensure our administrative activities run smoothly on a daily and long-term basis.

Responsibilities
  • Manages calendars, independently schedules appointments, reviews invitees, collects materials and prepares Executive for meetings.
  • Prepares records such as notices, minutes, and resolutions for meetings, schedules guests, and distributes materials in advance.
  • Follows-up on action items with direct reports on behalf of reporting manager.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • May provide support and direction to other clerical and administrative support staff.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Compiles & analyses data, and prepares reports and/or recommendations for executive level staff.
Requirements
  • Should followed Degree / Diploma.
  • Solid experience in an administrative support or similar role required.
  • Excellent PC skills; Expert knowledge of MS Outlook, Word, PowerPoint, and Excel.
  • Detail oriented; Ability to plan, prioritize and execute multiple concurrent activities.
  • Ability to communicate both orally and in writing in a clear, professional and pleasant manner.
  • Ability to handle frequent interruptions and changes in priorities.
  • Excellent customer service skills
